Payables Trx Inquiry shows $0 amounts

This post is about a strange support case that happened a year ago. I never did find the solution to it at that time, and ended up creating a new Dynamics GP user ID for this person, and that “solved the problem”, until yesterday. Once again, the user contacted me telling me the same thing was happening again. Thankfully, this time, I know what the issue is and was able to resolve it.

The Issue

This Dynamics GP user was having issues with the Payables Transaction Inquiry by Vendor window. It showed $0 for all transactions in both the Original Amount and Unapplied Amount columns, no matter what vendor they selected. This is the screenshot they sent me.

Background

This client does not have multicurrency enabled in Registration, and only operates in US Dollars in Dynamics GP. One of the first things I looked at with the user was checking the View > Currency display option, and it was greyed-out, as expected, with multicurrency not being enabled.

Solution

A hat tip to the Microsoft MVPs I reached out to – David Musgrave, Shawn Dorward, Amber Bell – as well as Terry Heley on this one. I knew there was some permanent solution to this user’s issue, creating new user IDs every time this happened was a ridiculous workaround. I also knew one or more of them might have seen this before!

David tipped me off to the currency view being an issue, which made sense except for multicurrency not being enabled, so I could not “see” how to actually fix this. Nothing in the suggested tables appeared to be any different for this UserID vs. any other UserID that was working fine. (SY01401 table in this case).

Terry chimed in with a post on the community forums on dynamics.com which gave me the solution: there are shortcuts to trigger the change in View in this window. The article is 16 YEARS OLD. Holy cow. I feel old now, but I digress…

  • CTRL + O triggers the view to change to View Originating Currency
  • CTRL + U triggers the view to change to View Functional Currency
  • CTRL + R triggers the view to change to View Reporting Currency

The user confirmed that once they used the keyboard shortcut CTRL + U, their amounts re-appeared. They also confirmed that they must have been atetmpting to open a document in another program at some point and muscle memory used CTRL + O without realizing the GP window was actually active, and that changed the amounts to display $0. CTRL + O is a standard shortcut many applications use to open a document, for example.

I tested this myself using a different login. Sure enough, pressing CTRL + O refreshes the window, a “Processing…” message appears briefly in the status bar, and the amounts change, and the same thing in reverse when pressing CTRL + U to set it back to Functional view.
